Budleigh House Booking Terms & Conditions

Please read these Terms & Conditions carefully.

By booking with us you are deemed to have accepted the terms and conditions detailed below which form the basis of your contract with Budleigh House. In the Terms & Conditions set out below, “you” and “your” refers to all persons named on the booking, which includes any individual(s) subsequently added or substituted at a later date. “We”, “us” and “our” all refer to Budleigh House.

Please print and retain a copy of this Agreement for your records as it may occasionally be updated.

Car parking
Free off street parking is available on a first come first serve basis.  Budleigh House does not accept any liability for any damage or theft to vehicles parked in the car park.

Pricing
Our prices may fluctuate depending on availability and demand at any given time, are subject to change without notice and are inclusive of VAT at the current prevailing rate. Your price is guaranteed once your booking has been taken.

Deposits
A 50% deposit is required to guarantee a reservation.

Payment
We will accept the following cards to pay your room balance;
Switch, Solo, Maestro, Visa electron, Visa, MasterCard, American Express and Amex.
We also accept Sterling cash and personal cheque with a valid cheque guarantee card and as long as the balance does not exceed the guarantee amount. If you wish to pay by card then there will be no charge if you pay with a debit card but a 2% charge if you wish to pay with a credit card and a 4% charge if you wish to pay with American Express.

Cancellations
Should you wish to cancel your reservation please notify us in writing, via telephone or e-mail at least seven days prior to your booking, for a full refund of your deposit less a £25 admin charge. If you cancel within seven days of your booking then we reserve the right not refund any of your deposit. If cancellation occurs on the day of booking a 100% room rate charge will be required.

Arrival & Departure
Our rooms are available from 2pm on the day of your arrival. Rooms must be vacated by 11am on the day of your departure, unless otherwise arranged at the time of booking.

Meal Arrangements
Our rates include a breakfast, typically a choice of a full traditional or continental breakfast with tea or coffee and a selection of juices.
Budleigh House offers evening meals by prior arrangement.
We are not licensed, but are very happy for you to bring your own wine.
We will be pleased to discuss any special dietary requirements you may have, so that an appropriate meal is available for you. Please be aware that we may use nuts in our kitchen.
Menus will change regularly, please ask for the current menu at the time of booking your stay.
There are no refunds for meals which are not taken by guests.

Smoking
We have a strict no smoking policy throughout the Budleigh House. Should you choose to ignore this, you will be asked to leave and will be charged for the entire length of your stay. In addition you will be charged for the specialist cleaning of the room and furnishings.

Medical conditions
If you or any member of your group have a medical problem or disability which may affect your stay, please discuss this at the time of booking, we do our utmost to accommodate everyone at Budleigh but unfortunately cannot cater for all eventualities. If you have not provided such details at the time of booking, the hotel reserves the right to cancel the booking should it be unable to make appropriate provision for your specific needs.

Children
Children under 10 years may stay by prior arrangement and must be supervised at all times. We are unable to provide cots or high-chairs for young children.

Pets
With the exception of Guide Dogs, we do not allow pets in the house.

Force majeure
We cannot accept responsibility for unforeseen circumstances beyond our control. These could include (not limited to) natural disaster, adverse weather conditions, fire, riot,  terrorist activity (or threat of), industrial dispute, or injuries and death of an individual(s) through accidental circumstances unconnected with the hotel.

Damage to Property
By making a booking you are accepting responsibility for any damage or loss caused by yourself or any member of your group. Full payment for any such damage or loss must be paid to Budleigh House. If you fail to do so, you will be responsible for meeting any claims subsequently made (together with our own and the other party’s full legal costs) as a result of your actions.

Complaints
We pride ourselves on our high quality customer service and take anyones concerns very seriously
If you are unhappy with any aspect of your stay at Budleigh House we need to know about it. We ask that you bring it to the attention of a member of staff or management  as soon as possible so that all reasonable efforts can be made to rectify the situation. If for any reason you have not been able to raise your concerns at the time of your stay, please put your concerns in writing and send it to: Budleigh House, East Ferry Road, Susworth, Nr Scunthorpe, Lincolnshire. DN15 3AN.
Complaints brought to our attention will normally receive a response within 7 working days.
Any complaints that are not brought to the attention of staff/management during your stay are unlikely to receive the same level of attention if made retrospectively.

Insurance
It is your responsibility to ensure that any insurance cover you have provides adequate cover for your needs and for the duration of your stay.

Our liability to you
We accept liability for, and totally restricted to, your stay at Budleigh House in accordance with the Booking Terms & Conditions current at the time of booking. We cannot accept any other form of liability.

Conference Bookings
Unless otherwise agreed in writing provisional bookings will be held for 14 days after which they will be automatically released without notice
A booking is only confirmed if supported in writing by the client with approved credit facilities or if supported by a suitable deposit requested by the hotel
Once confirmed the booking is subject to the cancellation, curtailment or reduction clauses below
1. Final numbers are to be confirmed no less than 7 days prior to the event. The hotel will accept a reduction of up to 10% of numbers originally booked. The hotel will always charge for a minimum of 90% of numbers originally booked
2. In the event that the client has to cancel or curtail a booking the hotel will charge a cancellation fee based on the following scale
i. Over 6 months prior 25% of room hire fee
ii. 3 – 6 months prior 30% of the total contracted charges for the event
iii. Less than 3 months prior 60% of the total contracted charges for the event
iv. Less than 1 month prior 90% of the total contracted charges for the event
3. Conference delegates with bedroom bookings that do not stay for the confirmed number of nights will be charged regardless of circumstance

Weddings, Functions & Banqueting
Provisional reservations will be held for 7 days. Bookings not confirmed will be automatically released
A booking is only confirmed upon receipt of a letter of confirmation together with a deposit which will be advised to you at the time of booking. This deposit is non-refundable unless the hotel is able to re-sell to another client for a similar monetary value
Final details and full pre-payment must be received at least 4 weeks before the event
Any extra charges incurred on the day must be settled on departure. The hotel reserves the right to add a credit charge of 2½% per month to overdue accounts
The hotel strongly advises a cancellation insurance as all payments, once received, are non-refundable except if we are able to re-sell to another client for a similar monetary value

Accessibility Statement

Budleigh House is committed to ensuring an appropriate accommodation for prospective guests with disabilities.
Due to the layout of Budleigh House, facilities for guests with severe mobility may be limited. We will endeavour to offer alternative provisions for guests with specific needs to make our hotel as accessible as practically possible

We welcome all enquiries from guests with disabilities, so we can discuss their needs and all reasonable attempts will be made to meet these.
